Create Your First Campaign

Walk through the campaign creation process step-by-step.

Step 1: Go to Outbound

Navigate to https://agentclara.app/launch/outbound and click “Create New Campaign”.

Step 2: Name Your Campaign

Give it a clear name:
  • “Appointment Reminders - March”
  • “Win-Back Campaign - Lapsed Customers”
  • “Product Launch - Cold Outreach”
The name is for your records (customers won’t see it).

Step 3: Choose Your Contacts

Option A: Upload CSV Prepare a spreadsheet with these columns:
  • phone - Phone number (required)
  • name - First name or full name
  • company - (optional) Company name
  • email - (optional) Email address
  • tags - (optional) Custom data
Save as CSV and upload. Example CSV:

Option B: Select from Database If you have contacts already in AgentClara:
  1. Click “Select from Contacts”
  2. Filter by:
    • Date range - “Last contacted 3+ months ago”
    • Tags - “Past customers”
    • Custom fields - Any criteria
Click “Add Selected” to add them to your campaign. Option C: Audience Builder Advanced: Build an audience by rules:
  • “All customers tagged ‘VIP’ who haven’t visited in 6 months”
  • “All leads from March who didn’t book”
  • Etc.
The system shows your audience size before you launch.

Step 4: Validate Contacts

The system checks:
  • ✅ Phone numbers are valid (real format)
  • ✅ No duplicates
  • ✅ Not on Do Not Call registry (we filter these)
  • ✅ Timezone-aware (we note each contact’s timezone)
If there are errors, we show them so you can fix them. Invalid numbers are removed automatically—no charge for those calls.

Step 5: Write Your Script

Go to the Script section and write what Clara should say.

Script Tips

Start natural: ❌ “I am Clara the AI assistant calling you regarding our business opportunity.” ✅ “Hi John, this is Clara from Beautiful Cuts Salon. I’m calling about your appointment tomorrow.” Use their name: People respond better when you use their name. Be specific: Don’t be vague. Tell them WHY you’re calling. Keep it conversational: Write how you’d actually speak on a phone. Ask for action: End with something they should do:
  • “Are you interested?”
  • “Can I book you in?”
  • “Should I send you more info?”

Example Scripts

Appointment Reminder:
“Hi [Name], this is Clara from Beautiful Cuts. Just wanted to remind you that you have an appointment with us tomorrow at [Time]. We’re looking forward to seeing you! Press 1 to confirm or press 2 if you need to reschedule.”
Lead Follow-Up:
“Hi [Name], this is Clara from TechFlow Consulting. We spoke last week about improving your sales process. I wanted to follow up and see if you had a chance to think about our proposal. Do you have 10 minutes to talk?”
Win-Back Campaign:
“Hi [Name], this is Clara from Fitness Plus Gym. We noticed it’s been a while since you’ve been in, and we want you back! We just added new equipment and classes. Are you interested in a free trial week?”
Survey:
“Hi [Name], quick question: How was your recent experience at our salon? Just rate it 1 to 5 by pressing a number. 5 being excellent.”

Using Variables

Use brackets for data from your contact list:
  • [Name] - Customer’s name
  • [Company] - Company name
  • [Time] - Appointment time
  • [Custom Field] - Any custom data you uploaded
Example: “Hi [Name] from [Company], this is Clara…” If a field is missing, Clara skips it gracefully.

Step 6: Set Calling Rules

When to Call

Start Date
  • Today
  • Tomorrow
  • Specific date
Call Window
  • 9am - 5pm (business hours)
  • 10am - 8pm (extended)
  • Custom hours
Timezone
  • Your timezone - Call everyone at the same time
  • Their timezone - Call each person during their business hours (recommended)

Call Rate

How many calls to make per minute:
  • Slow (1/min) - Spread calls throughout day, more conversational
  • Medium (2/min) - Balanced
  • Fast (5/min) - Maximum throughput (not recommended for conversation-based campaigns)
For most campaigns, 1-2 per minute works best.

Retry Settings

If someone doesn’t answer:
  • Retry after X days - How long to wait before trying again
  • Max retries - How many times to call (usually 1-3)
  • Retry after voicemail? - Yes or No
Example: Retry after 1 day, max 2 times = call once, if no answer, try again tomorrow.

Duration

  • Max call length - “End the call after 5 minutes” (prevents long monologues)
  • Leave voicemail? - If no one answers, should Clara leave a message?

Step 7: Preview

Before launching, Clara will give you a preview: Preview shows:
  • Campaign name ✅
  • Number of contacts ✅
  • Your script ✅
  • Calling rules ✅
  • Estimated cost ✅
Review everything carefully. Click “Edit” if you need to change anything.

Step 8: Launch!

Click “Launch Campaign”. Clara starts calling immediately (or at your scheduled time). You’ll see:
  • Real-time stats - Calls made, answered, voicemail
  • Live transcript - See what’s happening in active calls
  • Pause button - Stop calling if needed

Monitoring Your Campaign

Real-Time Dashboard

Watch as Clara calls:
  • Calls Attempted - How many numbers tried
  • Answered - Live conversations
  • Voicemail - Left messages
  • Appointments Booked - Success count
  • Not Interested - Declined

View Recordings

Click any call to:
  • Listen to recording - Hear what happened
  • Read transcript - See what was said word-for-word
  • See outcome - Appointment booked? Voicemail left?
  • Review sentiment - Did they seem interested?

Adjust On the Fly

While running:
  • Pause - Stop calling (resume later)
  • Change rate - Speed up or slow down
  • Stop campaign - End it early

After the Campaign

Review Results

Go to Reports to see:
  • Total calls made
  • Conversation rate - % who answered
  • Conversion rate - % who booked/said yes
  • Cost per conversion - How much each result cost

Use Results

  • Export list - Download all outcomes as CSV
  • Retarget - Create new campaign for people who didn’t answer
  • Segment - Tag “interested,” “not interested,” “try again later”

Iterate

What worked? What didn’t?
  • Improve script - Test different wording next time
  • Adjust timing - Try different call windows
  • Change rate - Slower calls might convert better
  • Target better - Focus on specific audience segments

Costs

  • Outbound calls - ~$0.10-0.20 per call (varies by country, length)
  • Recorded calls - Included in call cost
  • Voicemail transcription - Included in call cost
You’re charged per call attempted, not per minute.

Common Mistakes to Avoid

Don’t use a bad contact list. Bad phone numbers waste money. Clean your list first.
Don’t make the script too long. Clara should keep it under 30 seconds. Long scripts bore people.
Don’t call too fast. 5 calls/min feels robotic. Stick to 1-2/min for better results.
Don’t ignore compliance. You need the right to call these people. See Compliance.

Troubleshooting

Check:
  1. Did you set a future launch date? (It won’t start until then)
  2. Are all contacts valid phone numbers? (Invalid ones are skipped)
  3. Is the campaign paused? (Check status)

  2. Simplify your script (shorter = faster)
  3. Increase call rate (make calls parallel)
Click Pause on your campaign. You can resume any time. Paused campaigns don’t incur charges.
Yes. Go to your campaign > Edit > Add Contacts > Upload more numbers.Clara will call them alongside the original list.
