Set Up WhatsApp

WhatsApp is one of the most popular messaging platforms globally. Connect it so Clara can respond to customers on WhatsApp right from your AgentClara inbox.

Requirements

Before you start, you need:
  1. A WhatsApp Business Account (created through Meta/Facebook)
  2. A phone number (can be your current business number)
  3. Admin access to your WhatsApp Business account
If you don’t have a WhatsApp Business Account yet, you’ll create it during setup. It’s free.

How to Connect

Find WhatsApp

Look for WhatsApp Business and click Connect

Choose: New or Existing Account

  • I don’t have WhatsApp Business → Click “Create New Account”
  • I already have WhatsApp Business → Click “Connect Existing Account”
Both paths take 5-10 minutes.

Verify Your Phone Number

WhatsApp will send a verification code to your business phone number.Enter the code to confirm ownership.

Connect Your Template Messages

WhatsApp requires “approved templates” for certain messages (like confirmations).We’ll help you create:
  • Appointment confirmation template
  • Reminder template
  • Custom response templates
Click the templates we suggest, or create your own.

Test It

Send a test message to yourself:
  1. From your personal WhatsApp, message your business number
  2. You should see it in AgentClara inbox (labeled “WhatsApp”)
  3. Reply from AgentClara
  4. You should see the reply on WhatsApp
If it works, you’re connected!

WhatsApp in Your Inbox

Once connected, WhatsApp conversations appear in https://agentclara.app/chats:
  • Filter by Channel: WhatsApp to see only WhatsApp messages
  • Click any conversation to see the thread
  • Type a reply and send

How Clara Handles WhatsApp

Clara on WhatsApp can:
  • Answer questions about hours, services, pricing
  • Book appointments and send confirmations
  • Handle payments (if you have Stripe linked)
  • Send appointment reminders
  • Escalate to humans if needed

WhatsApp Business vs Personal

Don’t use your personal WhatsApp account. It won’t work with AgentClara. You must use WhatsApp Business (which is free):
  • Separate from your personal account
  • Designed for business conversations
  • Integrates with CRM systems like AgentClara
  • Better for team management

Common Setups

Scenario 1: New Business Number

If you want a new WhatsApp number for your business:
  1. During setup, select “New Business Number”
  2. We’ll assign you a number in your country
  3. Tell customers this number for WhatsApp

Scenario 2: Existing WhatsApp Business

If you already have WhatsApp Business connected:
  1. Select “Connect Existing Account”
  2. Log into your Meta Business Manager
  3. Grant AgentClara permission
  4. Your existing conversations appear instantly

Scenario 3: Personal Number Upgrade

If you want to convert your personal WhatsApp to Business (advanced):
  1. Go to Meta Business Manager
  2. Create a WhatsApp Business Account
  3. Link it to your existing phone number
  4. Conversations migrate to WhatsApp Business

Conversation Workflows

Appointment Booking via WhatsApp

Customer: “Can I book?” Clara: “Sure! I have these times available: [list]” Customer picks a time Clara: Confirms and sends calendar invite ✅ Appointment syncs to your calendar If you sell products or services: Clara: “That’ll be $50. Here’s your payment link: [link]” Customer clicks link and pays via Stripe Clara: “Payment received! You’re all set.”

Message Requests

WhatsApp has “Message Request” feature if a new customer messages you. You can:
  • Accept and reply (conversation moves to main inbox)
  • Ignore (message stays in requests)
All this works from AgentClara—no need to check WhatsApp app.

Team Collaboration

If your team uses AgentClara:
  • Assign WhatsApp conversations to specific team members
  • Add internal notes
  • Escalate to managers if needed
  • See conversation history
All happens in AgentClara—your team never needs the WhatsApp app.

Broadcasting (Mass Messages)

You can send one message to multiple customers at once: Go to https://agentclara.app/launch and look for Broadcast. Examples:
  • “We’re closed on Monday”
  • “New service available”
  • “Limited time offer”
Only works if customers opted in.

Troubleshooting

  1. Verify your account is fully connected (Integrations > WhatsApp)
  2. Send yourself a test message
  3. Refresh the page
  4. Check you’re looking at the right account (if you have multiple)
If still broken, disconnect and reconnect.
Check:
  1. Your WhatsApp template is approved (pending templates don’t send)
  2. The customer hasn’t blocked you
  3. The message isn’t too long (WhatsApp has limits)

Best Practices

Use approved templates. WhatsApp requires approval for automated messages.
Keep messages short. WhatsApp is for quick, simple messages. Long conversations should move to phone.
Respond within 24 hours. After that, messaging costs increase.
Don’t spam. Only broadcast to customers who opted in.
Set Clara’s WhatsApp tone. Messages should be casual, brief, and friendly.
