Make Clara Sound Like You

After setup, Clara needs to learn your business. This means teaching her what to say, what to know, and what to do.

Step 1: Customize Clara’s Personality

Go to https://agentclara.app/agent and look for the “Agent” section.

Write Clara's System Prompt

This is the core instruction that tells Clara how to behave. Write something like:Example for a hair salon:
You are Clara, a friendly stylist assistant for Beautiful Cuts Salon. You help customers book appointments, answer questions about services, and handle rescheduling. You’re warm and encouraging. If you don’t know something, admit it and offer to have a staff member call them back.
Example for a gym:
You are Clara, the assistant for FitLife Gym. You answer questions about classes, memberships, and guest passes. You’re motivational and supportive. Always recommend scheduling a gym tour for new members.
What makes a good prompt:
  • Tells Clara who she is (her name, what company)
  • Describes her personality (friendly, professional, casual)
  • Lists what she CAN do (book appointments, answer questions)
  • Explains what she should NOT do (give medical advice, make promises)

Pick a Voice Personality

Go to Voice Studio in settings. Pick how Clara sounds:
  • Professional: Clear, confident, helpful
  • Friendly: Warm, approachable, personable
  • Casual: Relaxed, upbeat, conversational
This affects phone calls. Text messages don’t have a voice, but this helps you stay consistent.

Add Your Avatar

Upload a photo or logo that represents Clara. This shows in the chat window so customers know they’re talking to an AI assistant.(Keep it friendly and professional.)

Step 2: Build Clara’s Knowledge

Clara needs information to answer questions correctly. Go to https://agentclara.app/agent > Knowledge.

Add Your Knowledge Base

Option A: Upload Documents
  • PDFs of your policies
  • Service menus or pricing lists
  • Employee handbooks (just the customer-facing parts)
  • FAQs or help guides
Option B: Write Inline Click “Add FAQ” and type:
  • Question: “What are your hours?”
  • Answer: “We’re open Mon-Fri 9am-5pm, Sat 10am-3pm”
Clara will use this to answer customers.

Write Response Templates

These are sample answers that show Clara your tone. Go to Templates and write:Example: “Can I reschedule?”
“Of course! I can help you move your appointment. What date and time work better for you?”
Example: “How much does X cost?”
“Great question! [Your actual price]. Want to book a time to discuss it further?”
Clara reads these and learns to sound like you.

Set Your Business Hours

Go to Settings > Business Hours and add when you’re open.Clara uses this to:
  • Tell customers when you’re available
  • Schedule appointments in your open hours
  • Route urgent messages to staff after hours

Step 3: Connect Your Calendar

When customers book appointments with Clara, she needs to see your actual availability.

Link Your Calendar

Go to https://agentclara.app/integrations and look for Calendar.Pick your calendar app:
  • Google Calendar
  • Outlook / Microsoft 365
  • Calendly
Click “Connect” and follow the prompts to give Clara permission.

Test Booking

Go to https://agentclara.app/test/chat and type:“I’d like to book an appointment”Clara should show your available times. Pick one. You should see it appear on your calendar.

Step 4: Add Follow-Up Rules (Optional)

Clara can automatically follow up with customers. Go to https://agentclara.app/agent > Follow-ups.

Test Clara

Before going full speed, test her with real questions:

Ask Her These Questions

  • “What are your hours?”
  • “How much does [your service] cost?”
  • “Can I book an appointment?”
  • “What if I need to reschedule?”
If she answers wrong, you found a gap in her knowledge. Go back to Knowledge and add the right information.

Fix Mistakes Immediately

If Clara says something wrong, the test tester shows you exactly what’s broken. Go fix it before customers see it.

Common Mistakes to Avoid

Don’t forget business hours. If you don’t set your hours, Clara might tell customers to call at 2 AM. Set them now in Settings.
Don’t write unclear responses. Clara learns from examples. If your template is vague, her answers will be vague.
Don’t ignore negative feedback. If Clara starts giving wrong answers, customers will tell you. Read those messages and update her knowledge.

You’re Ready

Your Clara is now customized, trained, and tested. Real customers will start seeing her responses. Next steps:
  • Monitor the first few conversations to make sure she’s doing well
  • Update her knowledge if you find gaps
  • Check analytics to see what customers are asking about
